Strategically optimise your workspaces with sensor insights

Occupancy sensors for your desks, meeting rooms, and informal spaces enrich the booking and check-in insights you get in Matrix Booking. Combine all this data for a complete before, during and after understanding of workspace utilisation.

A team may book a meeting room for 10 people for two hours. But just five attend in person and the meeting only lasts an hour. Someone may book a desk for a day, but only use it for a few hours.

Sensor data in Matrix Booking shows you resource utilisation in real time, meaning you know what’s actually happening in your offices, and can monitor trends.

Use these insights to intelligently adjust your blend of desks, rooms, collaboration spaces, and other resources, in response to how you know people are using them.

Dashboards and reports help identify tactical savings

Administrators and facilities teams can see occupancy and environmental information in real-time dashboards and historical reports, and combine this with resource booking and check-in data.

These can bring to light opportunities for quick savings. For instance, occupancy sensors may show some zones are lightly used at certain times. Close these areas during quiet periods to reduce the cost and environmental impact of heating, cooling, lighting, and cleaning.

Quiet weekdays may also be the perfect time to carry out maintenance, instead of paying higher weekend or evening rates.

Real-time desk availability displays

Do you have free seating areas as well as bookable desks? Occupancy sensors on each desk in your free seating zones let you display live availability on interactive in-building screens, or the Matrix Booking mobile app.

This helps people without bookings quickly find space to work.

Find informal spaces faster

Informal spaces, such as sofa areas, games rooms, and cafés, are popular locations for ad hoc meetings or a change of scenery. Help employees find space fast, by adding sensors to your informal areas and displaying live occupancy information on in-building screens, or the mobile app.

Ensure you’re providing safe and comfortable workspaces

Environment and air quality sensors enable remote monitoring of your offices. Spot potential problems early, so you can ensure you’re meeting your health and safety responsibilities.

Then go further by combining environmental data with booking, occupancy, and utilisation insights, to spot links between people’s resource usage and environmental factors. Are some rooms seeing much lower use at certain times of day? Environmental data may show these spaces becoming much warmer at these times. Cooling them down could encourage more people to use them.

Monitor data such as temperature, noise levels, CO2, humidity, and pollutants.

Help staff to be more productive

Some employees love working in a bustling office. Others are more productive in a quieter space. Some prefer it warm, while others like it cooler.

Use environment sensors to display data about different parts of your buildings when people book desks and rooms in Matrix Booking. This helps everyone choose space where they’ll be most comfortable and productive.

Flexible commercial models

Procure your occupancy sensors and environmental sensors in a way that suits you.

Most customers choose the simplicity of our Hardware as a Service (HaaS) package, where we provide everything you need for a fixed monthly cost. Under HaaS, we’ll also remotely monitor your setup and apply patches as these become available. If a component goes wrong, we’ll fix or replace it.

You can also buy our sensors from us outright, or use existing office sensors or Internet of Things (IoT) sensors (subject to compatibility).

A way to understand office utilisation…

“Data is everything to the civil service and we’re really going to be able to fully understand office utilisation going forward – especially with the shift to hybrid working and more collaborative space in our offices.”
