7 benefits of adding occupancy sensors to your workspace

1. Strategically optimise your workplace

Desk, room, and zone occupancy sensors that include anonymous people counters further enrich the insights you get from booking and check-in data in Matrix Booking.

Understand in detail how your offices are being used so that you can intelligently adjust the blend of desks, meeting rooms, collaboration spaces, and other resources you’re offering.

For example, staff may be asking for more meeting rooms because they are always fully booked. An anonymous people counter in each room may show that many of your larger rooms are frequently used for small meetings. If so, you could solve the shortage by splitting larger rooms into smaller ones rather than renting more floorspace.

2. Pinpoint quick cost and environmental savings through reporting dashboards

Use the booking and check-in reports in Matrix Booking to see whether certain floors or areas are only lightly used at certain times. Occupancy sensor data enriches these insights giving an even clearer picture of building usage, including non-bookable areas such as informal seating.

These insights can help you identify opportunities to close zones or floors at certain times to reduce the cost and environmental impact associated with lighting, heating, cooling, and cleaning.

The data collected by Matrix Booking from both occupancy and environmental sensors is also available to administrators and estates teams in the form of real-time heatmaps and utilisation reports. These reports are used to capture baseline data that informs workplace strategies and drives decisions around reducing property or repurposing space that’s underused.

3. Ensure you’re meeting your health and safety responsibilities

Add environmental sensors that monitor temperature, humidity, noise levels, and other factors to ensure you’re providing safe and comfortable workspaces.

4. Help people book the ideal workspace

Some employees love the buzz of working in a bustling office while others prefer a quieter space. Some like a warmer environment where others prefer it cooler.

Adding environmental sensors means you can display information about different parts of the building when people are booking resources. Doing so enables people to choose a desk where they’ll be most comfortable.

5. Display real-time desk availability in free seating areas

Your organisation might operate both bookable and non-bookable desks. Adding occupancy sensors to the desks in your free seating area enables you to display a live view of availability in the building so that people can quickly find space to work when they arrive.

Real-time utilisation data allows users to locate their department or zone and immediately see vacant spaces on a large touchscreen kiosk or a mobile app.

6. Show how busy your informal spaces are

You may have areas for informal or ad hoc meetings, such as breakout spaces, sofa areas, games rooms, or a café. Anonymous people counters in these areas can detect how busy they are and you can display this information on in-building screens to help people find space fast.

7. Display environmental information

Real-time data from environmental sensors can be displayed throughout your buildings. As well as demonstrating to employees that you’re taking your duty of care towards them seriously, staff looking for an ad hoc workspace can use these insights to pick somewhere they will be most comfortable and productive.

Data that can be displayed includes:

  • noise and sound levels
  • temperature
  • CO2
  • air quality
  • humidity
  • pollutants

How workplace sensors with Matrix Booking works

We provide everything you need

Matrix Booking provides the sensors you need and any associated hardware on a Hardware as a Service (HaaS) basis. This means you avoid the upfront capital cost of procuring hardware and benefit from the assurance that if any device goes wrong, we’ll fix or replace it.

Already have sensors?

If you already have occupancy sensors in your building, there’s usually no need to replace them. Wherever possible, we’ll connect them with your Matrix Booking system. Speak to our team about sensor compatibility.

Installation

Every workplace sensor installation is unique. A workplace consultant will work with you to understand your needs, perform the physical installation of the sensors and associated equipment in your buildings, and set up the feed of data into your Matrix Booking system in the ways you need.

Ongoing monitoring and support

Under your HaaS arrangement, we’ll remotely monitor the sensors we provide to ensure everything’s working correctly. We’ll be able to fix most software-related problems remotely without the need for on-site intervention.

If our monitoring spots a hardware problem that’s straightforward to fix, we’ll notify your administrators and advise them of what to do. If the issue is more complex or if the hardware needs replacing, we’ll send someone out to you.

To help keep your hardware secure and working correctly, we’ll apply any patches and bug fixes as these become available. This covers the hardware itself and the Matrix Booking software running on it. Because we do this remotely, there’s no effort needed from your IT or facilities management teams.
