We have continued to invest in making Matrix Booking simpler to manage, more flexible to use, and easier to scale across complex organisations.

This update introduces improvements across resource bookings, calendars, admin visibility, and visitor management systems, all designed to reduce friction for employees and give teams clearer control behind the scenes.

Book shared resources across organisations

You can now book meeting rooms and other shared resources linked to Microsoft 365, even if the person making the booking doesn’t exist in that Microsoft 365 system.

This matters if you work with contractors, external partners, or across multiple organisations. The booking still creates a calendar entry, so the resource can’t be double-booked and availability stays accurate.

Search availability across your entire estate

Users can now search for available spaces across multiple locations in a single view, instead of checking buildings one by one.

Bookings can also be viewed at every level, from the whole organisation down to individual desks, meeting rooms, or resources. This makes it easier to understand resource usage, spot availability, and manage space across larger or distributed estates.

To keep results clear and relevant, users only see resources that exist at the selected location.


See where resource bookings come from

The resource booking history now shows how each booking was made, whether through the web app or imported from another system. This applies to bookings, check-ins, and cancellations.

What you can see depends on your role. Standard users see their own booking history. Location managers see bookings in the areas they manage. Organisation admins see everything.

Simpler visitor management system for multi-tenant buildings

One set of visitor settings with less admin effort

Visitor management is now easier to configure and maintain in multi‑tenant environments.

Instead of managing visitor rules by category, settings apply consistently across a building once reception is enabled. This reduces setup time and removes duplicate configuration.

For shared or hub receptions, internal staff can be included automatically. QR codes and passcodes are visible in one place, making setup and ongoing management simpler.

The result is a more predictable visitor experience with less operational overhead for facilities and reception teams
